USPS Gives Mailers More Data to Find Production Problems

On September 3, USPS published new guidance for Informed Visibility Mail Tracking and Reporting, commonly known as IV-MTR. The documents explain how commercial mailers can receive uncapped Mail Quality Data, detailed Informed Delivery post-campaign information and tracking data through Mail.XML. IV-MTR serves as a near-real-time source for tracking domestic letters, flats and larger mail handling units.

The Mail Quality Data may be the most useful part of the update for production teams. It includes detailed error information from the Mailer Scorecard for Full-Service mail, Move Update, eInduction and Seamless Acceptance. Instead of working from a limited set of reports, mailers can receive data feeds that offer a broader view of errors across their jobs.

That information becomes more valuable when it can be tied back to the original production file. Every Intelligent Mail barcode connects a physical mailpiece with its electronic documentation and USPS tracking record. An incorrect barcode, damaged print or mismatched recipient record can break that connection. When the production system records what was printed and verifies the barcode before the piece leaves the line, the mailer has a reliable point of comparison for the USPS data.

A practical workflow starts with clean address and recipient data. The variable printing system applies the address, Intelligent Mail barcode and any personalized content. A camera or barcode reader confirms that the expected information appeared on the correct piece. Once the mailing enters the postal network, IV-MTR data can be compared with those production records.

This comparison can help identify where a problem began. Errors spread across an entire mailing may point to the source file or job setup. Problems limited to one portion of a run may indicate a print-quality or material-handling issue. Induction errors can direct attention toward mail preparation and electronic documentation. Without production records, those problems are harder to separate and may look like a general USPS performance issue.

Detailed Informed Delivery post-campaign data adds another layer. Mailers can compare digital campaign activity with physical mail tracking, giving marketing and production teams a more complete record of how the campaign moved. Mail.XML delivery also allows larger operations to bring postal tracking information into their existing reporting systems instead of relying entirely on manual downloads.

For DPi customers, the opportunity is to create a closed connection between variable printing, verification and postal reporting. Accurate printing establishes the record. Inspection confirms that the mailpiece matches it. USPS tracking shows what happened after induction. When those records agree, mailers can find errors faster and make corrections based on evidence rather than assumptions.
